Wedding Terms & Conditions

booking your date

a non-refundable booking retainer is required to secure your wedding date.

for full-service weddings, the booking retainer is $500. for smaller weddings where the final invoice total is less than $500, a 25% retainer will apply instead.

dates are not held without a confirmed booking and paid retainer.

 

quotes & floral concepts

wedding quotes are valid for 30 days unless otherwise stated.

flower pricing can fluctuate due to seasonality, supplier pricing, weather events, and market availability.

final pricing may be adjusted if significant changes are made to the floral scope or requirements.

 

seasonal flowers & substitutions

flowers are seasonal and nature can be unpredictable.

if specific flowers become unavailable, sweet stems reserves the right to make substitutions using flowers of a similar style, colour, and value while protecting the overall look and feel of the design.

 

final numbers & changes

final flower counts, quantities, and details are confirmed closer to the wedding date.

minor changes may be possible depending on timing and flower availability.

 

delivery, setup & pack down

sweet stems may provide delivery, on-site setup, styling, repurposing, and pack down services depending on the agreed floral scope.

venue access times must be confirmed in advance.

additional labour charges may apply if setup conditions differ significantly from the original brief.

 

candles & venue restrictions

it is the client’s responsibility to ensure candles or styling items comply with venue rules and safety requirements.

 

hire items

any hired vases, vessels, candle holders, or styling items remain the property of sweet stems unless otherwise agreed.

broken, missing, or damaged hire items may incur replacement charges.

 

photography

sweet stems may use professional wedding photographs featuring floral work for portfolio, website, publication, and social media purposes unless otherwise requested in writing.

photographer credits will always be acknowledged where possible.

 

cancellations

booking retainers are non-refundable.

if a wedding is cancelled within a short timeframe of the wedding date, sweet stems reserves the right to invoice for flowers already ordered, labour already completed, or hire items reserved specifically for the booking.

 

weather & unforeseen circumstances

sweet stems is not responsible for delays, damages, or inability to fulfil services caused by extreme weather events, natural disasters, road closures, supplier interruptions, or circumstances outside reasonable control.

by booking sweet stems, clients acknowledge that floral design is a creative service and trust emma’s professional judgement in creating flowers that best suit the overall vision, season, venue, and floral availability.
